How to Use PayTooling

Pay Stub Generator

The Pay Stub Generator creates professional pay stubs for contractors. Here's how to use it:

  1. Quick Start with Sample Data

    Click the "Fill with Sample Data" button next to the Contractor Information heading to populate the form with example data.

  2. Enter Contractor Information

    Fill in the contractor's name, payment amount, and miles driven (if applicable).

  3. Set Pay Period

    Select the start and end dates of the pay period, as well as the payment date. By default, these are set to the current week.

  4. Enter Mileage Rate

    The current IRS standard mileage rate is pre-filled, but you can adjust it if needed.

  5. Add Notes (Optional)

    Include any additional information that should appear on the pay stub.

  6. Enter Company Information

    Provide your company name and address.

  7. Generate Pay Stub

    Click "Generate Pay Stub" to create a PDF that can be saved or printed.

  8. Create Pre-fill Link (Optional)

    Generate a link with pre-filled information to use again or share with others.

Reverse Invoice Generator

The Reverse Invoice Generator allows contractors to create invoices for companies. Here's how to use it:

  1. Quick Start with Sample Data

    Click the "Fill with Sample Data" button next to the Contractor Invoice Generator heading to populate the form with example data.

  2. Enter Basic Invoice Information

    Fill in the invoice number, invoice date, and due date.

  3. Enter Contractor Information

    Fill in your name, address, phone number, and email.

  4. Enter Client Information

    Provide the company name, address, and contact person.

  5. Add Invoice Items

    List the services provided, quantities, and rates. Click "+ Add Item" for multiple entries.

  6. Add Mileage (Optional)

    Include mileage driven and set the mileage rate. You can choose whether to include mileage in the invoice total or show it as a non-billable item by toggling the "Include mileage in total" checkbox.

  7. Set Invoice Terms and Notes

    Specify payment terms and add any additional notes.

  8. Add Notarial Language (Optional)

    Check the "Add notarial language" box if you need to include notarial acknowledgment text in your invoice.

  9. Preview Invoice

    Click "Preview Invoice" to see how your invoice will look before generating the final PDF.

  10. Generate PDF

    After reviewing the preview, click "Generate PDF" to create the final invoice that can be saved, printed, or emailed.

  11. Create Pre-fill Link (Optional)

    Generate a link with pre-filled information to use again or share with others.

Frequently Asked Questions

Are the generated documents legally valid?

Yes, the pay stubs and invoices generated by PayTooling contain all the necessary information for tax and accounting purposes. The notarial acknowledgment option adds an extra layer of formality to invoices when needed. However, you should always consult with a financial professional to ensure compliance with local regulations.

Is my data secure?

PayTooling processes all data in your browser. No information is sent to or stored on our servers, ensuring complete privacy and security.

What is the "Include mileage in total" option?

This option in the Reverse Invoice Generator allows you to control how mileage is displayed on your invoice. When checked, mileage costs are included in the invoice total. When unchecked, mileage is shown as a non-billable item for informational purposes only.

Why should I use the Preview feature?

The Preview feature allows you to see exactly how your invoice will look before generating the final PDF. This helps you catch any errors or make adjustments to the layout before finalizing the document.

Can I customize the templates?

Currently, the templates have a fixed design, but you can customize content such as adding notarial language, including or excluding mileage from totals, and adding custom notes. We plan to add more design customization options in future updates.

How do I save my generated documents?

After generating a PDF, you can save it to your device or print it directly from your browser. The file will be named based on the invoice number or contractor name for easy reference.
